  • The relevant project, parcel or location and the activity being discussed.
  • The supporting agreement or correspondence, including its date and any later changes.
  • The conditions or commitments that affect the next step.
  • Any unresolved question, the person following up and the expected update time.

A note that says “confirmed” is difficult to use if it does not identify what was confirmed. A document with a clear name is easier to retrieve, but its contents still need to match the question being asked.

Give the next person a record they can use

Where land administration and everyday communication meet.

Consider this illustrative handover: a landowner has discussed a south gate entrance for a scheduled survey visit. The general update says access is arranged. The conversation record contains the entrance instruction and a request for notice before the visit.

A useful handover points the receiving colleague to that record and identifies who will complete the notification. If the confirmation or notification remains outstanding, the update should say so. That lets the team deal with the gap before an assumption becomes an instruction.

This is where land administration and everyday communication meet. Recording a commitment is only useful when the person responsible for the next action can find and understand it.
